- Student and staff records: admission details, attendance, grades, fee records, payroll, and other operational data entered by authorized users on behalf of an institution.
- Usage data: IP address, browser type, device information, pages visited, and activity logs used to secure and improve the Service.
- Communications: support requests, feedback, and messages sent through the platform or to our team.
3. How we use information
We use collected information to:
- Provide, operate, maintain, and improve the Service.
- Authenticate users and enforce role-based access controls.
- Process institutional workflows such as admissions, attendance, fees, exams, and reporting.
- Send service-related notices, security alerts, and administrative messages.
- Monitor usage, prevent fraud, and protect the security and integrity of the platform.
- Comply with legal obligations and respond to lawful requests.
4. How we share information
We do not sell personal information. We may share information only in these circumstances:
- With your institution:data entered into an institution's tenant is accessible to authorized administrators, teachers, and staff according to permissions configured by that institution.
- Service providers: trusted vendors who assist with hosting, infrastructure, email delivery, analytics, or support, subject to confidentiality obligations.
- Legal requirements: when required by law, regulation, court order, or to protect rights, safety, and security.
- Business transfers: in connection with a merger, acquisition, or sale of assets, with appropriate notice where required.
5. Data retention
We retain information for as long as an institution's account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Institutions may request deletion or export of data subject to applicable law and contractual terms. For how to request deletion, see User data deletion.
6. User data deletion
You may request deletion of personal data associated with your UnicoreLMS account or with records held in an institution's tenant. Because schools and universities typically act as data controllers for student and staff records, the process depends on your role.
How to request deletion
- Students, teachers, and staff:Contact your school or university administrator first. They can deactivate accounts, remove profiles, or correct records within their institution's tenant.
- Institution administrators: You may delete or deactivate users and related records from the admin portal where the product supports it. For full tenant wipe, export, or account closure, email hello@unicorelms.me from your registered admin address with the subject line "Data Deletion Request".
- Individual account holders: If you no longer need your login and your institution has confirmed it is appropriate, send a deletion request to hello@unicorelms.me. Include your full name, email used to sign in, institution name, and role.
What we delete
- Account credentials and profile fields we control directly (name, email, phone, login metadata).
- Where authorized by the institution (or required by law), associated operational records such as attendance, grades, fee entries, notices, and similar tenant data linked to that user.
- Backup copies are purged on a rolling schedule after deletion is completed in the live systems.
What we may retain
- Information we must keep for legal, accounting, audit, fraud-prevention, or dispute-resolution purposes (for example invoice history or security logs), for only as long as required.
- Anonymized or aggregated statistics that no longer identify you.
- Records the institution is legally required to retain (for example certain student academic or fee archives). In those cases the institution remains responsible for retention and further deletion decisions.
Timing
We aim to acknowledge deletion requests within 7 business days and complete verified deletions within 30 days, unless a longer period is required by law, a contractual obligation with your institution, or the complexity of the request. We may ask you to verify your identity before acting on a request.
Parent or guardian requests
For student data, parents or guardians should typically work through the school or university. Where local law allows a direct request to us, contact hello@unicorelms.me and we will coordinate with the institution as appropriate.
7. Security
We implement administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information. Institution administrators are typically responsible for student and staff records within their tenant. Individual users may contact us at hello@unicorelms.me for account-related requests, including user data deletion.
9. Children and students
The Service is intended for use by educational institutions. Student data is processed on behalf of schools and universities that act as data controllers. Institutions are responsible for obtaining any required consents from parents or guardians where applicable.
10. International transfers
Information may be processed in countries other than your own. Where required, we take steps to ensure appropriate safeguards are in place for cross-border data transfers.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised version on this page and update the "Last updated" date. Continued use of the Service after changes become effective constitutes acceptance of the updated policy.
